Job Summary

Administrative Assistant to the Superintendent of Schools. This position requires a dynamic, flexible, and highly skilled individual to assist in the administration of the daily activities and processes that fall under the Supervision of the Assistant Superintendent of Schools, including the District Teaching and Learning office. This position will assist with administrative and clerical duties, including knowledge of the functions and operations of the various departments and familiarity with the laws, rules, and regulations affecting the departments.

PERFORMANCE RESPONSIBILITIES (include but are not limited to) :

General

  • Proficient in relaying administrative tasks and other information
  • Assists in implementing policies and procedures to be followed by District wide personnel
  • Competent in fielding questions and inquiries from the public and all Central Office staff
  • Performs general administrative functions as requested by the Assistant Superintendent of Schools

Under the direction of the Assistant Superintendent of Schools and in support of the Teaching and Learning team:

  • Assist the Assistant Superintendent of Schools with documentation related to partnerships with local Colleges/Universities and other community organizations
  • Assist the Assistant Superintendent and Central Office team in tracking and distributing all student data, preparing reports and charts for public presentation/access, etc.
  • Assist the Assistant Superintendent and Central Office team with planning, organization and tracking of all professional development activities. Create and maintain spreadsheet/database for professional development points for all staff
  • Assist the Assistant Superintendent of Schools in the tracking and correspondence for educator course pre-approval and course reimbursement
  • Create certificates for professional development or clock hours and distribute to staff
  • Maintain all electronic records of all PD activities as well as PDPs or Canton Credits for the required period according to state regulations
  • Organize and maintain all mentoring documents, hour logs, etc. for the required period according to state regulations; transfer requested records to DESE electronically
  • Assist in completion of necessary paperwork for all grants as well as other district grants under the purview of the Director of Teaching and Learning
  • Organize all student data for grants and submit annual reports per DESE regulations
  • Maintain records, both paper and electronic, and assist with correspondence for all homeschool students
  • Assist with all aspects of the ordering process for curriculum and instructional materials, including securing quotes, processing purchase orders, entering requisitions, ensuring distribution of materials, and follow up as needed with vendors to ensure proper order completion, in collaboration with business office staff
  • Supports the Assistant Superintendent of Schools in other projects as assigned

Qualifications:

  1. High School Diploma required; Bachelor’s Degree preferred
  2. Proven ability to work in a positive, respectful, and friendly manner with many different stakeholders
  3. Demonstrated aptitude or competence for assigned responsibilities
  4. Outstanding written and verbal communication skills
  5. Well-organized and detail-oriented
  6. Exceptional interpersonal and presentation skills
  7. Working knowledge of relevant technologies: internet and email systems; word processing, presentation, and spreadsheet software; and Google educational software
  8. Employment-based on successful completion of CORI and fingerprinting background
  9. Such alternatives to the above qualifications as the school department may find appropriate and acceptable

This position is included in the AFSCME Administrative Union and is a full time full year position.

Compensation: Starting hourly rate per the AFSCME Administrative Contract for SY 25-26 school year is $27.76-$33.06 per hour.
