The Finance Department is seeking a Project Management Assistant to support the Real Estate Division responsible for managing acquisition and relocation.
The Project Management Assistant will assist and provide support to Real Estate Project Managers and Program Managers specific to real estate activities for City-wide projects. This position will be responsible for coordinating with personnel involved in real estate acquisition, relocation, disposition, and management for large and small City projects, including but not limited to light rail, roadway widening, water and sewer infrastructure, and parks.
The Project Management Assistant must be able to interact both with private developers and their staffs as well as with representatives of other City departments involved in a particular program or projects. This role will require initiative and good judgment. Work is performed under the general supervision of a Real Estate Deputy Director, Program Manager, Project Manager, or other professional level staff.
Duties include:
- Processing payment requests, invoices, and goods receipts.
- Coordinating Records Retention.
- Coordinating with Accounts Payable to set up vendors.
- Routing purchase agreements and other documents through Adobe Sign.
- Monitoring contracts, performing contract summaries, interacting with business partners, and coordinating project meetings.
- Monitoring incoming and outgoing mail.
- Analyzing, interpreting, and writing reports of research findings.
- Working with other departments to facilitate meetings.
IDEAL CANDIDATE
Demonstrates:
Knowledge of:
Real Estate principles and practice.
Principles of municipal budgeting, accounting, and finance methods.
SAP, Legistar, GIS, Data Trace, CoStar or other data-based systems.
Research methods and report presentation.
Ability to:
Research and develop clear and effective reports and presentations to diverse audiences.
Develop and maintain effective working relationships with employees, business partners, tenants, customers, and representatives of governmental agencies.
Excellent customer service, communication, and writing skills.
Proficiency with Microsoft Office products (Word and Excel).
SALARY
Pay Range: $60,028.80 - $97,780.80 annually.
Hiring Range: $60,028.80 - $80,454.40 annually.

MINIMUM QUALIFICATIONS
- Two years of experience in governmental research, urban development, finance or public administration.
- Bachelor's degree in public or business administration, urban planning, architecture, engineering, economics or a related field.
- Other combinations of experience and education that meet the minimum requirements may be substituted.
- Working irregular hours, evenings, weekends, and holidays may be required.
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS
The minimum qualifications listed above, plus:
- Real Estate or Professional Administrative Office experience.
- Experience with data entry.
- Experience processing invoices and monitoring payments.
- Experience writing and submitting comprehensive reports.
- Experience with vendor contract assignment, management, and invoicing.
