Overview

Colliers Engineering & Design is seeking a temporary, part-time Contract Specialist to join our team in Holmdel, NJ. This role has the potential to transition into a full-time position in the future.

The Contract Specialist will manage the end-to-end lifecycle of subcontract agreements in support of our Architecture, Engineering, and Construction operations. This role ensures that all contracts, ranging from RFP/RFQ responses, subcontractor/subconsultant contracts, and vendor agreements are drafted, reviewed, negotiated, and administered in accordance with applicable industry standards and company policies. The specialist will work closely with project managers, business development teams, legal counsel, and operations to safeguard the organization’s interests while enabling successful project delivery.

Responsibilities

  • Contract Drafting & Review: Prepare, review, and edit a variety of contracts, including client agreements, subconsultant contracts, subcontractor agreements, nondisclosure agreements (NDAs), amendments, and Requests for Proposals/Requests for Qualifications (RFP/RFQ), ensuring accuracy, clarity, and compliance with industry best practices and insurance requirements.
  • Negotiation & Risk Management: Negotiate and submit exceptions to contract terms with clients, partners, subcontractors/subconsultants, and vendors to achieve favorable terms, minimize risk exposure, and align agreements with both project goals and legal requirements.
  • Compliance & Regulatory Oversight: Ensure all subcontracts meet client flowdown contracting provisions including federal, state, and local requirements, as well as AEC-specific standards (e.g., FAR clauses for government work, lien rights, insurance and bonding requirements). Monitor subcontractor/subconsultant and vendor insurance expirations to ensure compliance throughout the project lifecycle.
  • Project & Cross-Functional Collaboration: Partner with project managers, estimators, procurement, and finance teams for subcontractor/subconsultant and vendor compliance with project requirements.
  • Lifecycle Management: Maintain a centralized repository for contract documents.
  • Administrative Support: Maintain contract templates tailored for various project types (project specific agreements, master services agreements, lump sum, time and materials, etc.) and update them regularly to reflect changes risk management strategy and company policies.

Qualifications

  • Bachelor’s degree in Business Administration, Construction Management, or related field; paralegal certification or legal coursework preferred.
  • Minimum 3–5 years of contract management experience, preferably in the AEC industry or with professional service agreements for design and construction projects.
  • Strong drafting, negotiation, and analytical skills with attention to detail.
  • Familiarity with AIA contract documents, FAR clauses, and other industry-standard contract formats.
  • Understanding of project delivery methods, insurance requirements, and subcontractor/subconsultant/vendor compliance.
  • Excellent organizational and communication skills.
  • Proficiency in contract management software and Microsoft Office Suite.
  • Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.

Compensation: $31.00 to $39.00 per hour (depending on qualifications)
