WSP is currently initiating a search for a Project Coordinator for our Duluth, MN office. This role can also be based in other WSP locations across the US (Minneapolis, Chicago). This is a hybrid position.

Your Impact

Job Duties:

  • Support Project and Program Managers in day-to-day coordination tasks, including meeting scheduling, action item tracking, and documentation management across multiple project workstreams.
  • Assist with project reporting and data collection, ensuring timely updates from team members and contributing to the preparation of progress reports, dashboards, and executive summaries.
  • Maintain and organize project documentation within the Project Management Information System (PMIS), including contracts, change orders, submittals, schedules, and correspondence.
  • Coordinate inputs for cost and schedule updates, supporting project controls staff by collecting data from consultants, contractors, and internal teams.
  • Help maintain and update Power BI dashboards by compiling data, verifying accuracy, and coordinating with the analytics or project controls team for visualization updates.
  • Track and monitor project milestones, deliverables, and deadlines, escalating potential delays or issues to the appropriate project lead or manager.
  • Prepare agendas, take minutes, and distribute follow-ups from project meetings, ensuring clear documentation and accountability for action items.
  • Assist with procurement tracking and invoice processing by coordinating with finance teams and vendors, helping ensure alignment with project budgets and timelines.
  • Support change management processes by maintaining logs, tracking documentation, and assisting in the preparation of change requests and impact assessments.
  • Serve as a liaison between technical and administrative project staff, helping to coordinate communications, facilitate document flow, and ensure alignment with overall program objectives.

Who You Are

Minimum Requirements:

  • Bachelor's degree in Construction Management, Engineering, Business Administration, Project Management, or a related field, or equivalent combination of education and experience
  • 5+ years of relevant work experience in project coordination or administration
  • Experience in industries such as infrastructure, construction, engineering, or similar is preferred
  • Proficiency in Microsoft Office, especially Excel, Word, and PowerPoint
  • Familiarity with Power BI and project management information systems (PMIS) such as Autodesk, e-Builder, Unifier, or Procore
  • Basic understanding of project lifecycles, documentation workflows, and change management processes
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities and coordinate across teams in a fast-paced environment
  • Training or coursework in project management principles is an asset

Compensation:

Expected Salary (all locations): $90,000-105,000

WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant's education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant's sex or other status protected by local, state, and/or federal law.
