Clinical Engineering Contracts Specialist

This position is responsible for assisting with all aspects of the Clinical Engineering contract management process for service agreements covering medical equipment. These responsibilities include overall contract maintenance, lifecycle management, routine invoice review, contract amendments for additions and deletions, maintaining records, updating asset history records, and contract archival. This position works closely with the Supply Chain, CE Directors, CE Supervisors, Clinical Caregivers, Accounts Payable, and others involved in the supplier contracting process.

Scope

This position reports to the Clinical Engineering Central Support Manager. This individual participates in the development of annual goals and objectives related to medical equipment contract management and serves as a resource in the validation and financial review of service agreements.

Job Essentials

Captures and records all medical equipment service agreements in the appropriate database and assists with ensuring all asset records are accurate.

Coordinates and communicates with CE Directors, CE Supervisors, Clinical Caregivers, and the Supply Chain in contract creation, review, and approval.

Provides detailed information and data required for reviews, approvals, and signatures of medical equipment service contracts, addendums, and extensions.

Processes approved amendments, extensions, renewals, expirations, terminations, etc. and updates individual asset history records to reflect the current service agreement coverage.

Manages the contract lifecycle for authorized service provider agreements, to include, but not limited to contract expiration reports, content management for CE documents, monitors terms and conditions, financial risks, insurance requirements, ensures contract cybersecurity review, and matches the invoice to the contract.

Participates as needed with authorized service provider contract negotiations.

Provides notification to appropriate CE personnel of approaching expirations of contracts in a timely manner and on a regular basis.

Monitors authorized service provider performance in relation to agreement terms and conditions.

Conducts annual review of contract costs in relation to potential service costs to validate necessity.

Assists in ongoing investigation and evaluation of alternative service options, continually monitoring existing program for cost efficiency and effectiveness

Participates when required in quarterly business reviews with contracted suppliers.

Performs field service report matching to supplier invoices for service outside of contract coverage and processes the invoices for payment when review is complete.

Minimum Qualifications

Bachelor's degree. Degree must be obtained through an accredited institution. Education is verified

five years? experience working with equipment maintenance contracts, accounts payable, and asset management.

- and -

Demonstrated ability to establish and maintain effective working relationships with co-workers, department leadership, finance personnel, corporate personnel and service providers.

- and -

Three years of experience in a role requiring strategic thinking and problem solving, professional and detailed verbal and written communications, and a high level of customer service.

- and -

Experience in a role requiring attention to detail, sound decision making, sense of urgency and timeliness, and negotiation skill working with suppliers and internal stakeholders.

- and -

Experience in a role requiring work in a fast-paced and changing environment while handling multiple deadlines and priorities.

- and -

Experience in project management and managing through a process.

- and -

Experience using word processing, spreadsheet, database, internet and e-mail, and scheduling applications.

- and -

Three (3) year of work experience in the areas of service contract development and service contract management must be obtained through an accredited institution. Education is verified OR five years experience working with equipment maintenance contracts, accounts payable, and asset management.

Preferred Qualifications

Bachelor's degree. Degree must be obtained through an accredited institution. Education is verified.

Five years' service contract management experience; two of which are in Clinical Engineering.

Experience working in healthcare capital management in some function i.e. sourcing, financial analysis, Clinical Engineering, or asset accounting.

Experience in financial and data analysis role.

The hourly range for this position is listed below. Actual hourly rate dependent upon experience.

$30.55 - $48.12
