Summary: Contract and Compliance Administrator is responsible for coordinating and routing contracts, preparing Precon contract packages to hand off to Operations team, updating prequalification's with clients, and light administration work. The Contract and Compliance Administrator is part of the Sales and Business Development team and helps ensure contracts are reviewed promptly and feedback is provided to the clients on a timely basis. The person who is successful in this will have great attention to detail, organized, and comfortable reviewing documents in the hundreds of pages. Success in this role is vital to Preconstruction. The Contract and Compliance Administrator works with our VP of Preconstruction daily and regularly interacts with top leadership. As such, they must be comfortable and confident working with top management.

Key Responsibilities:
Responsible for supplying updated documents for sales meetings including, Kick-off, and Pre-start, weekly Contract Review and Monthly Department Meetings
Completing bid forms when needed
Creating and maintaining pre-qualification forms, including updating financials, updating current project lists, past project lists
Request Bid Bonds as needed
Assign all new job numbers (including material sales, truck for hire jobs, general construction, and residential).
Receive all incoming contracts and purchase orders. Prepares all contracts for execution; then forwards to the appropriate estimator for review once risk assessment is completed. Final signature by VP of Preconstruction. Upon return of executed contract, process job by creating new main file binder, including exterior labels indicating job name and number and interior index dividers.
Register and maintain State Licensing as required based on project pursuits
Set up Job and applicable cost costs into Sage/Timberline
Facilitate Team Blue Beam review sessions for received Contracts, perform full contract review post session, coordinate markup project review with VP of Preconstruction and communicate final mark ups to GC as discussed
Obtain AZ 5005 Documentation as needed
Facilitate Sub-Subcontractor set ups/registrations in Docusign as requested.
Insurance Responsibilities:
Responsible for ordering all General Liability insurance and Workers Compensation insurance documents for every job on a per-project basis.
Maintain ordering/registering for job specific OCIP, CCIP insurances.
Responsible for distributing renewal certificates every year to contractors
Skills & Qualifications:
10+ years of experience in contract administration and compliance roles in a company exceeding $30 million in revenue.
Capable of holding team members accountable to process contract reviews in a timely fashion
Negotiation skills with exceptional written and verbal communication
Continued engagement in formal or informal education efforts.
Preferred Qualifications:
Bachelor's degree in business, Construction, preferred but not required with equal on the job experience
5+ years of experience in entrepreneurial or start-up settings.
Technical proficiency with Salesforce, Excel, and Sage Timberline.
