Job Description This role involves managing and maintaining project documentation, coordinating various administrative tasks, and providing essential support to project teams to ensure seamless execution and completion of projects. Responsibilities
- Maintain and manage project files and the project e-mail box.
- Focus on document control and management.
- Track projects and produce monthly progress reports.
- Work with specifications, changes, and finalizing project details.
- Facilitate inquiries regarding projects and research necessary information.
- Maintain tracking systems for projects.
- Record minutes during Project Manager meetings.
- Answer phones and direct calls accordingly.
- Sort and read incoming mail.
- Collect bills and invoices efficiently.
- Type memos, correspondence, reports, and other documents as required.
- Make travel arrangements and prepare outgoing mailings and labels, including emails and faxes.
- Organize and maintain filing systems.
- Coordinate client or vendor lunches, including set-up and clean-up.
- Reserve conference rooms and coordinate with internal support departments.
- Order and maintain office supplies.
- Arrange equipment maintenance or set-up.
- Keep the department calendar and roster updated.
- Provide occasional project assistance to managers.
- Assist in the creation of PowerPoint presentations.
- Utilize Access to store and retrieve data.
- Help coordinate clerical needs for special projects.
- Complete weekly timecards and make copies of printed materials.
- Perform additional duties as assigned by the supervisor to ensure the overall success of the group and company.
- Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint.
- Excellent organizational skills.
- Strong attention to detail.
- Effective communication skills.
- Ability to handle multiple tasks simultaneously.
- Experience in document control and document management.
- Familiarity with construction administration, EPC, project coordination, and project management.
- Proficiency in data entry and construction and engineering processes.
