Summary
The Associate Project Manager (APM), is a junior-level position supporting the planning and coordination of ancillary supplies and services. This role ensures the successful execution of client orders by maintaining scope, budget, timeline, and quality expectations. The APM will work closely with internal teams to deliver excellent customer service and contribute to continuous process improvement.
Responsibilities
Project Coordination & Execution
Support project planning, initiation, execution, monitoring, and closeout activities for ancillary supply distribution.
Assist in managing project scope, timelines, budgets, and quality standards across assigned studies.
Coordinate and track procurement, inventory, and distribution of ancillary supplies through global depots and fulfillment centers.
Maintain accurate project documentation and trackers (e.g., timelines, budgets, deliverables, risk registers).
Stakeholder Engagement
Serve as a day-to-day contact for internal stakeholders and external clients, ensuring timely and professional communication.
Host and participate in study team meetings and client calls; prepare agendas, minutes, and status updates.
Act as a secondary contact for sponsors and CROs, supporting communication and reporting schedules.
Operational Oversight
Monitor order progress and proactively identify risks or delays; escalate issues as needed.
Perform quality control (QC) checks on kit builds and outbound order requirements to ensure accuracy and project compliance.
Liaise with Ancillary Center Supervisor and Coordinators to ensure timely execution of study-related tasks.
Assist in maintaining study status and documentation in systems such as SharePoint and Salesforce when necessary.
Training & Development
Collaborate with clients and project managers to support study oversight and assist in creating training materials and tools for internal teams and client use when necessary.
Schedule and support project hand-off meetings and internal training sessions.
Reporting & Metrics
Gather and report departmental metrics related to fulfillment performance, quality, and client satisfaction.
Review and maintain reports and documents such as shipping manifests, issue logs, and distribution trackers.
Compliance & Closeout
Ensure all deliverables meet regulatory and client expectations.
Work with Quality and Regulatory Services to archive study documents post-closeout.
Other Duties
Perform additional tasks as assigned to support project and departmental goals by management.
Education and Qualifications
Bachelor s degree (BA/BS) preferred; associate degree (AA/AS) considered with relevant experience.
1-2 years of experience in clinical research, project coordination, distribution operations, or customer service preferred.
Strong organizational and critical thinking skills with high attention to detail.
Excellent written and verbal communication and presentation abilities.
Customer service orientation and ability to manage multiple tasks in a fast-paced distribution and fulfillment environment.
Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook); experience with SharePoint, Salesforce, or similar systems is a plus.
Familiarity with clinical trial terminology and supply chain operations is a desired plus.
Language Ability
Ability to read, analyze, and interpret general business periodicals, professional journals, or technical procedures. Ability to write business correspondence and procedure manuals. Ability to effectively present information and respond to questions from managers and clients.
Math Ability
Ability to perform calculations and manage budgets. Ability to apply mathematical concepts to budget management for clinical trials and metrics analysis.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Supervisory Responsibilities
This position has no supervisory responsibilities.
Work Environment
The noise level in the work environment is usually moderate and may need to be in a distribution center like environment from time to time.
Physical Demands
While performing the duties of this job, the employee is frequently required to sit, talk and hear. The employee is occasionally required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 30 pounds. Specific vision ability is required by this job including close vision and ability to adjust focus.
