PURCHASING: The purchasing Bureau is consists of contracts and accounts payable and is responsible for ensuring the Departments compliance with the New Mexico Procurement Code. Accounts Payable processes payments on behalf of the Department while contracts is responsible for professional services contracts, general services contracts, and inter-governmental agreements entered with Department.
Why does the job exist?
The purpose of this position is to support the Public Education Department (PED) with the procurement of goods and services from Federal grants, revenue, and the State General Fund with different budget periods and requirements. This position provides administrative support for financial processing, including preparation of financial documents processing for payments for goods, and processing forms for travel.
This position serves as the Purchasing Agent for the Public Education Department (PED). This position will audit all requisitions to include procurement method, account codes and back up documentation, Create Purchase orders after auditing supporting documentation, Process change orders to existing purchase orders, run purchasing reports in SHARE, Close out zero balance purchase orders, assist department staff with questions regarding purchasing along with providing training to staff. In addition, this position will serve as the authorized P-Card holder for the Public Education Department. The position may act as Point of contact for all W-9s received by PED employees, school districts, and all other constituents working with the Public Education Department. Assist with records and archives office documents. Support staff in general office needs such as creating files, filing contracts, track budget for the office, sort mail etc.
How does it get done?
Working within SHARE financial modules Requisitions, Purchase Orders and report modules.
Understanding of the NM State Procurement Code and Department of Finance and Administration (DFA) Manual of Modeling Accounting Practices (MAPs).
Reviewing and reconciling of the PO reports and close out of PO's monthly.
Meeting internal and external strict deadlines.
Maintain P-Card records, prepare P-card monthly payment packets, prepare documents for audit review.
Working with PED staff to get all required signatures and documents needed to complete purchases.
Assist with annual audit
W-9 Point of Contact
Staff training
Other duties as assigned.

Governor, Secretary of Public Education, agency personnel across all bureaus and divisions, board and commission members, contractors, school districts, charter schools.
Ideal Candidate
Professional verbal and written communication skills.
Experience navigating SHARE processing PO's and contracts modules;
Experience creating Purchase Orders and processing Change Orders utilizing SHARE Financial Module;
Experience running queries in SHARE financials and close out PO's.
Experience with P-Card
Organized and detail-oriented
State Procurement knowledge.
Minimum Qualification
Bachelor's degree in Business or Accounting and Finance and two (2) years of experience in accounting, finance, purchasing, procurement, and/or warehouse clerking. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling six (6) years may substitute for the required education and experience.
