Primary Purpose:

Under the direction of the Department Supervisor, and as a strategic partner, provide professional level contract expertise to the Supply Chain department to help manage the administration of sourcing contract proposals throughout the entire Contract Lifecycle Management (CLM) process. Working with key stakeholders both internal and external to build and maintain strong relationships to understand the specific needs and requirements of the stakeholders. Takes lead in the: creation of, close-out, extension renewal and amendment of the various types of contracts required to support the ARUP Supply Chain. Negotiates specifications, contractual provisions, contract updates, including updating the Contract Management System (CMS). Supports communications with key stakeholders, contract needs, proposals, and amendments with corporate counsel and stakeholders. Manages and communicates project timelines and progress to department leaders and other stakeholders. Relies on experience and judgment to plan and accomplish goals.

Essential Functions:

Manages the administration of the various sourcing contract types, including project timelines and targeted completion dates, working with the applicable Suppler Business Relationship & Performance Manager (SBRPM) to ensure that all project deadlines are met.

In both an advisory and hands-on supporting role, gains a clear understanding of key stakeholder requirements and needs to clearly communicate both verbally and in technical written form within the contract sections to help with the updates, red-lines and amendments as needed.

As a strategic partner, drafts and modifies contracts and agreements, working closely with corporate counsel, internal business partners and third parties.

Updates and maintains contracts within the (CMS) to manage the portfolio of contracts including entering and updating contract information, working directly with the applicable SBRPM to help execute the extension, renewal, warranty and services per contract or cancelations.

As needed or requested, provides reports such as: total number of contracts per category, total spend vs contractual spend rate requirements, etc.

Monitors compliance with contract requirements ensuring all conditions are satisfied before final approval throughout the CLM. (i.e. ensure we are getting the contracted price).

Maintains a strong understanding of contract language and jargon used within Supply Chain.

Supervises and participates in the preparation of proposals, negotiations and administration of contracts in accordance with company policies and legal requirements.

Participates in business reviews and conference calls.

Responsible for maintaining current and up-to-date “Best Practice” contract methods and terminologies to share with team members.

Supports, creates, amends and updates contract templates to help standardize across the Supply Chain department including updating templates in the CMS.

Physical Requirements:

Stooping: Bending body downward and forward by bending spine at the waist.

Reaching: Extending hand(s) and arm(s) in any direction.

Mobility: The person in this position needs to occasionally move between work sites and inside the office to access file cabinets, office machinery, etc.

Communicate: Frequently communicate with others.

PPE: Biohazard laboratory environment that requires use of personal protective equipment in accordance with CDC and OSHA regulations and company policies.

ARUP Policies and Procedures: To conduct self in compliance with all ARUP Policies and Procedures.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.

Fine Motor Control: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.

Vision: Having close, far, and peripheral visual acuity to perform a variety of tasks such as make general observations of depth and distance.
