Job Title: Project Assistant

Job Description

We are seeking a detail-oriented and proactive Project Assistant to support our project management teams. This role will be instrumental in maintaining project documentation, coordinating permitting processes, and ensuring seamless communication across team members and stakeholders.

Responsibilities

  • Assist project managers with day-to-day administrative and coordination tasks.
  • Maintain and update project schedules and trackers using Smartsheet.
  • Support project budgeting, invoicing, and reporting through Deltek Vision.
  • Coordinate and track permitting activities, including application submissions and follow-ups with regulatory agencies.
  • Prepare and distribute project documentation, meeting minutes, and status reports.
  • Facilitate communication between internal teams, clients, and external stakeholders.
  • Monitor project timelines and deliverables to ensure deadlines are met.
  • Help maintain compliance with company and client standards.
  • Support procurement, invoicing, and other operational tasks as needed.

Essential Skills

  • 1-3 years of experience in a project support or administrative role, preferably in engineering, environmental, or construction industries.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management tools (e.g., Smartsheet, Microsoft Project, Asana).
  • Familiarity with Deltek Vision is a plus.
  • Familiarity with permitting processes and regulatory documentation is a plus.

Additional Skills & Qualifications

  • Associate's or Bachelor's degree in Business Administration, Environmental Science, Engineering, or a related field a plus.
  • Strong Communication: Able to clearly convey information and actively listen to team needs.
  • Organizational Excellence: Skilled at managing multiple tasks and priorities with attention to detail.
  • Problem-Solving: Resourceful and able to anticipate project needs and resolve issues proactively.
  • Team-Oriented: Works collaboratively and builds positive relationships with colleagues and clients.
  • Adaptability: Comfortable in a fast-paced environment and open to evolving responsibilities.
  • Professionalism: Maintains confidentiality and demonstrates integrity in all interactions.

Work Environment

The position is based in an office located in Maitland, FL (Orlando Area) and consists of a team of 15-20 people, including engineers, designers, engineering techs, field techs, and project managers. The work environment offers growth opportunities and the potential for promotion to lead roles, with the chance to work with a major utilities contractor.

Pay and Benefits

The pay range for this position is $19.00 - $20.00/hr.
