Department Information
The College Office of Facilities and Science Infrastructure manages approximately 1.2 million square feet of space allocated to the College across 82 buildings. Our responsibilities include processing facility upgrades, furniture and equipment requests, small project renovations and ergonomic requests, space planning for large and small projects, preparing and submitting space requests to the Campus Space Committee, space efficiency analysis, building management, relocations, and managing major capital projects for new construction and renovations.
The office maintains an internal space inventory and management system to manage College space more efficiently and to complement the university space inventory process.
Job Summary
Department-Specific Responsibilities
Reports problems, coordinates responses, and manages building activities for all departmental classroom spaces and public spaces.
Walks the building inside and out, regularly to identify potential building issues.
Places Work Orders and Requests for Service (capital projects).
Builds Contact for Facilities, Physical Plant, and outside contractors.
Stays involved with construction within building.
Liaises with multiple campus groups: EHandS, AE, VPCPF, VPFAA, Registrar, EMS (Energy Management Systems), Building Services and others.
Manages the Evacuation Plans, Life Safety Plans, and oversees yearly updates to the Emergency Action.
Plans, monthly checks on AED's.
Sets Locking schedule for holidays as directed.
Oversees key management and electronic card system.
Assigns building keys and access to new individuals. Receives keys from employees who no longer work in the building.
Manages mail services for the building (multiple schools/units).
Initiates building wide communication regarding building updates, construction, access, and closures.
Maintains the building wide listserv and updates Email distribution lists.
Oversees signage throughout the building.
Participates on the GISB building space committee which writes and updates policy documents on the building's use of space.
Helps with Space Inventory/Management as needed.
Maintains and controls access to the building directories.
Maintains landscaping through periodic irrigation.
Maintains printer supplies (paper, toner, staples, etc.) for centralized print services (11 printers) and act as first point of troubleshooting for printer problems.
Submits work requests for printer repairs as needed.
Approves/disapproves schedule requests for GISB-controlled spaces in 25Live.
May be responsible for overseeing student hourly workers.
General Responsibilities
Manages building operations and maintenance such as maintenance planning, security/access control, and emergency response. Coordinates fire and life safety, environmental safety procedures, and planning with university personnel and external agencies where required.
Performs periodic scheduled and ad hoc inspections to identify cleaning and property maintenance needs.
Prepares estimates for repairs and ensures building maintenance falls within allocated budget with an emphasis on cost-containment.
Participates in all aspects of project development, budget, implementation, and completion.
Participates in an on-call rotation to cover emergency situations.
Coordinates fulfillment of work orders for corrective action and routine maintenance; monitors progress, escalating complex matters as needed.
May provide guidance to non-exempt Licensed & Skilled Trades staff.
Qualifications
