Primary Purpose of Job

Provides administrative support to and oversees the logistics for all activities at the Harrigan Centennial Hall ("HCH") to ensure a useful, clean, pleasant, and safe environment for all individuals visiting or involved in the scheduled events at the multi-purpose facility.

This position provides direction and instruction to the HCH Building Attendant positions regarding their daily tasks. This position is also responsible for special projects as assigned by the HCH Manager.

The work is performed under the direct supervision of the HCH Manager but the employee works independently on their assigned duties and responsibilities.

Essential Duties and Responsibilities

  • Supervises projects as assigned by the HCH Manager ensuring each project adheres to applicable policies and procedures, safety standards, and project objectives
  • Provides information and reports any problems to the HCH Manager for the use in policy and procedure, safety standards, and project objectives development
  • Assists in the creation, implementation, and enforcement of seasonal permits and regulations
  • Trains and directs employees in the standard policies, procedures, and practices for cleaning, maintaining, and arranging the rooms within the HCH as requested by the patrons
  • Monitors building operational systems and physical facility to ensure all systems are in working order and reports problems to the HCH Manager; maintains accurate records of all maintenance
  • Monitors activities within the museum and other areas of HCH to ensure compliance to all rules and regulations and reports incidents to HCH Manager
  • Monitors the HCH kitchen to ensure the health standards set by the State of Alaska are complied with by employees and patrons
  • Monitors the sidewalks and entrances around the facility, on a daily basis, to maintain a safe exterior of HCH
  • Responsible for coordinating, confirming, and maintaining records of all room reservations
  • Responsible for the ordering of all supplies needed for the operations and maintenance of facility
  • Serves as HCH's public relations liaison with patrons providing information about the goals and purposes of the HCH and engages with tourists and visitors to provide information about Sitka in a courteous and professional manner
  • As needed, sets up audio visual, sound equipment, virtual meeting platforms, or other features of HCH and provides instructions to all patrons in the proper use of facility equipment
  • As needed, lays out the various HCH rooms according to specified needs of patrons so that the HCH is conducive to the purpose of and resulting in a successful event
  • As needed, performs janitorial duties such as cleaning restrooms and kitchen, vacuuming, washing windows
  • As needed, performs light maintenance around the facility ensuring all aspects of the building are in working order
  • Reviews publications and audio-visual materials to remain current on the principles, practices and new developments in assigned work areas
  • Performs other related duties as assignedKnowledge of:
  • Standard equipment and materials used in building maintenance and janitorial duties
  • Audiovisual equipment, sound systems and virtual meeting platforms
  • Operational policies and procedures of multi-purpose facility
  • Theater lighting systems
  • HVAC systems

Skills in:

  • Operating Microsoft Office programs such as Word, Excel, Power Point, Outlook, and various virtual meeting platforms

Ability to:

  • Train and direct the work of other employees
  • Work in close cooperation with various patron groups and implement building features to fit their needs
  • Follow instructions for the arrangement of facility rooms for special events with close attention to detail
  • Communicate well with others, both orally and in writing, using both technical and non-technical language
  • Understand and follow oral and written policies, procedures, and instructions
  • Prepare and present accurate and reliable reports containing findings and recommendations
  • Use logical and creative thought processes to develop solutions according to written specifications and oral instructions
  • Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines
  • Quickly learn and put to use new skills and knowledge as needed

Minimum Qualifications

  • Graduation from high school or possession of a GED; and
  • Experience in computers, audio-visual sound equipment and virtual meeting platforms; and
  • Experience working in hospitality, a community center, or conference facility, or
  • Any equivalent combination of experience, education and training which provides the knowledge, skills and abilities necessary to perform the work

Other Job Requirements and Expectations

  • Employees are expected to be available to work variable hours, nights, and weekends, as needed
  • Possession of an Alaska Driver's LicenseWorking Conditions:
  • The majority of duties of this class are performed indoors in a 32,000 square foot facility
  • Some duties like sidewalk snow and trash removal are performed outside, at times in inclement weather
  • Work may involve the use of cleaning agents and related chemicals

Specific Physical Requirements:

  • Substantial walking and standing on a daily basis
  • Lifting minimum of 16 pounds on a daily basis
  • Pushing, bending and reaching on a daily basis
  • Regularly operate office equipment requiring repetitive hand movement and fine coordination using a computer and keyboard

General Physical Requirements:

  • Sufficient clarity of speech and hearing or other communication capabilities which permits the employee to communicate effectively, courteously, and professionally
  • Sufficient vision or other powers of observation which permits the employee to monitor activities within and around the HCH
  • Sufficient manual dexterity which permits the employee to perform set- up duties, janitorial, and maintenance
  • Sufficient personal mobility and physical reflexes which permits the employee to be physically active with the ability to access all areas of the HCH
