Position Description:

Project Coordinators (PC) are critical to all aspects of our client projects and our business, ensuring information is accurate and deadlines are met. A PC is a can-do partner with a keen eye for detail and hunger for data accuracy. They bring logistical expertise and support to project teams, providing a framework to ensure member engagement and client success. This role is focused on building and maintaining executive roundtable communities for C-level executives on a global scale. Project Coordinators may engage with CFOs, COOs, and CMOs, among other functions from companies such as Coca-Cola, Amazon, John Deere, Pfizer, Oracle, and Goldman Sachs daily. PIE works on behalf of the world's most renowned professional service firms including Accenture, Boston Consulting Group, Cognizant, and KPMG. This is a multi-faceted position; as you grow in the role, the expectation is that you engage with client sponsors as part of the team-based management style adopted at PIE. In addition, Project Coordinators are integral to internal leadership teams, process development, and training initiatives.

Breakdown of Duties and Responsibilities:

  • Provide project-centric support to our Managing Directors, Directors, and Associate Directors across multiple projects, consultants, and responsibilities
  • Manage logistics for virtual client roundtables and live events
  • Communicate with C-suite executives worldwide and their offices to schedule appointments
  • Maintain accurate and detailed database of client information via Salesforce CRM software, Microsoft Power BI and Microsoft Excel spreadsheets
  • Participate in client calls and provide project/membership updates
  • Communicate effectively and efficiently with project managers, client teams, and community members to build strong client relationships, drive community engagement, and meet client expectations
  • Build and maintain membership of PIE communities by recruiting executives via phone and email outreach
  • Collaborate internally with other Project Coordinators and leadership to continually improve processes
  • Lend expertise to project teams and training modules as a peer resource
  • Contribute to internal initiatives with a solutions-oriented approach (e.g., PIE marketing collateral, research projects, company culture and team building, internal training sessions)
  • Prepare documents and weekly reports for client and member distribution
  • Research and source executive contact information
  • Assist with follow-up to secure sales meetings for Directors and Managing Directors as needed
  • At PIE we all wear many hats: other duties and responsibilities as assigned

Qualifications:

We are looking for motivated individuals who embrace responsibility, have a keen eye for detail, can manage multiple projects simultaneously, are a proactive partner and perform well under pressure. To succeed in the position, individuals must be efficient, highly organized, flexible, and detail oriented. Project Coordinators are eager to learn and improve organizational efficiency, enjoy working in a collaborative environment, and are not afraid to pick up the phone and call an executive office anywhere in the world. Individuals must have strong verbal and written communication skills; proficiency in Microsoft Office (Excel, Word, Outlook) and Salesforce are preferred. PIE operates on Microsoft 365 platforms. Hours: Full-time (General Hours of Operation: 7:00 a.m. - 4:00 p.m.)
