Job Summary:
Seeking a highly organized and proactive Facility Project Coordinator to oversee and manage a variety of facility-related projects, ensuring they are completed on time, within budget, and to the approved branding standards. This role will be responsible for the full project lifecycle, from initial concept and planning through execution, commissioning, and closeout. The ideal candidate will possess strong project management skills, excellent communication abilities, and a thorough understanding of building systems, construction processes, regulatory and MOTION requirement standards.
ResponsibilitiesResponsibilities:
Overseeing Annual Facility Site Audits ensuring Facility Brand & Compliance standards are being met and maintained by completing physical site inspections.- Facilitate communication between our operations team of ongoing maintenance issues
ensuring deficiencies are addressed promptly - Support Director & Manager researching and scheduling demonstrations of new Facility Management system(s) for 2026-2027
- Support the Director and Manager of Development in the build-out and opening of new clinic(s) including resource scheduling for the bidding process, providing all estimates for
- Proforma/RFR file preparation
- Develop detailed project plans, including timelines, budgets goals, resource allocation, and risk assessments. Oversee the bidding process, vendor selection, and contract negotiation
- Manage and coordinate internal and external project teams, including architects, engineers, contractors, and vendors.
- Monitor project progress against the plan, proactively identifying and addressing potential delays, risks, and issues
- Manage project budgets, track expenses, monitor change orders and ensure proper documentation to ensure cost control.
- Conduct regular site visits to monitor construction activities and ensure compliance with plans and specifications
- Facilitate organizing project meetings and communicate project status to stakeholders.
- Manage project handover, including punch lists, final inspections, and documentation.
- Ensure completion of all required documentation, including as-built drawings, warranties, and operating manuals
- Conduct post-project evaluations to identify lessons learned and areas for improvement.
- Finalize project budgets and reconcile all expenses.
- Assist in the development and implementation of facility management strategies and best practices by regularly assessing financial data to identify cost-saving opportunities and optimize resource allocation
- Perform other duties as assigned.
Qualifications
- High School Diploma or GED equivalent required
- Ability to physically navigate to MOTION clinics required
- State Drivers’ License required
- Bachelors’ Degree preferred
- Licenses/Certification in PM preferred
- Exceptional written and verbal communication skills, motivational abilities
- Strong problem-solving abilities
- High energy and self-motivation
- Strong desire to learn and grow with the company
- Proven track record of successfully managing and delivering projects of varying sizes and complexities.
- Ability to work extended hours as needed
- Ability to work weekends as needed
- Ability to manage multiple projects simultaneously and adapt to shift priorities
