Purchasing Coordinator

The Purchasing Coordinator is responsible for arranging for the purchase of all job-related materials and subcontracted services. This includes creating purchase orders and purchase receipts as well as entry of vendor invoice and maintaining and updating inventory records. This position will also assist in proposal development and coordination of installation projects.

Requirements

  • Locates and continually evaluates vendors for all needed materials and subcontracted services based on cost, selection, distribution capabilities and availability for upcoming jobs.
  • Creates purchase orders for seasonal color, enhancement and construction departments.
  • Orders annuals, additional soil, stone, sand, and salt each season or as needed.
  • Monitors purchases through receipt of materials or services.
  • Enters material purchase receipts and vendor invoices into Aspire.
  • Creates and sends contracts and PO's for snow subcontractor work.
  • Performs and supervises administrative timesheet reviews of assigned subcontractors and client sites curing winter months.
  • Maintains inventory costing data in Aspire and updates when necessary.
  • Reviews and reconciles inventory discrepancies.
  • Reviews construction plans, enhancements and task notes in order to ensure accuracy of plant lists and take-offs prior to ordering materials and to ensure the quality of the projects meet and ideally exceed company standards and client expectations.
  • Updates task notes to reflect any plant substitutions to the crews.
  • Assists with small plant and materials pickups and deliveries to the sites for crews.
  • Organizes and labels plants in the nursery by job for ease of loading for the crews.
  • Identifies areas where efficiency of procedures can be improved.
  • GED or high-school diploma or equivalent is required for this position. Related degrees and experience are valued, but not required.
  • 1-2 years of purchasing and planning preferred.
  • Associates Degree in Business Administration preferred, but not required.
  • A valid US driver's license. Chauffeur's or CDL licenses preferred.
