+ Perform initial job setup within ERP system, including creating, balancing, and reviewing project budgets.
+ Assist all branches with change order entries and updates.
+ Set up Subcontractor Agreement Schedules of Values (SOVs) and support branches in maintaining consistency.
+ Create and maintain customer profiles in ERP system, ensuring accuracy and completeness.
+ Manage customer pre-qualifications and annual updates, utilizing platforms such as iSqFt, ENR, Building Connected, Avetta, iBidPro, Construct Connect, Connect Secure, CBRE, Ariba, TradeTap, Textura, Smartbid, Vertikal, Contractor Score, and Helix.
+ Maintain current documentation files, including credit info, OSHA logs, DART & TRI rates, bank letters, financials, job references, W-9s, EMR mod letters, surety letters, COIs, Cage Code, and D&B info.
+ Finalize contract request documentation, including W-9s, performance and payment bonds, and COIssupporting all branches as needed.
+ Generate and distribute monthly bid logs, awarded job reports, labor forecasts, and backlog summaries.
Requirements
Education and/or Work Experience
+ Previous experience as an executive assistant (preferred)
+ Associates degree in Business Administration or related field (preferred)
+ High school diploma (or equivalent). (required)
Preferred Skills and Abilities
+ Excellent organizational skills, with the ability to manage multiple deadlines, systems, and document types
+ Ability to balance and review budgets, contracts, and change orders with minimal supervision
+ High attention to detail to ensure accuracy in data entry, contract setup, and reconciliation
+ Strong communication skills, both written and verbal, for coordinating with internal teams and external partners
+ Proficiency in Microsoft Excel and other reporting tools
+ Self-motivated and resourceful, with the ability to take initiative and work independently
+ Team-oriented attitude with a willingness to support multiple departments and branches as needed
+ Familiarity with prequalification platforms such as iSqFt, BuildingConnected, Avetta, Ariba, SmartBid, etc.
