The Project Coordinator is an important and versatile position within the installation department. The position is dynamic and fast paced, and requires great accuracy and attention to detail. The coordinator provides support to the project managers and foreman, ordering materials and equipment for commercial refrigeration installation projects. The position requires strong organizational skills as well as strong written and verbal communication skills.

Responsibilities

  • Job setups in Microsoft Dynamics Great Plains
  • Enter estimates
  • Monthly job forecasting adjustments
  • Issuing purchase orders
  • Ordering equipment
  • Pulling permits
  • Working in customer portals
  • Issuing waivers
  • Creating and maintaining job lists
  • Certified payroll
  • Drafting and submitting change orders
  • Procuring and submitting project/contractor compliance documentation
  • Billings
  • Procuring and submitting job close out documentation
  • Booking travel
  • Running reports for PM's
  • Project accounting and reconciliation
  • Contribute to the team effort by accomplishing related tasks as needed
  • Complete tasks accurately and on time
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit

Additional Duties

  • Typing and tracking change orders
  • Monthly review for job cost POC
  • Tracking sub-contractors purchase orders
  • Closing out all projects at end of month
  • COI
  • Site safety

Requirements

  • Minimum 1 year of project coordination experience in the commercial construction industry
  • High School Degree or GED equivalent
  • Experience in Construction or similar industry
  • HVAC/R industry knowledge or experience preferred
  • Good Computer proficiency.
  • Strong organizational and communication skills.
  • Good customer service/phone skills and flexibility for handling a wide range of activities.
  • Data entry for accurately processing invoices and payment runs.
  • Self-motivated and work well with others.
  • Demonstrates time management skills.
  • Flexibility and desire to take on additional responsibilities.
  • Willing to learn and grow with the company.
  • Ability to work independently, multi-task and prioritize tasks with strict deadlines.
  • Self-motivated and works well with others.

Working Conditions

Work is performed in a standard office environment. Approximately 90% of duties performed are in a seated position. The employee must reach with hands and arms and talk and hear. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
