Administrator Job Description This position requires a detail-oriented and proactive individual to assist with phone sales inquiries and customer follow-ups. The role involves preparing and sending customer quotes promptly and accurately, scheduling projects, and coordinating with customers and installation teams. You will be responsible for preparing and sending project billing, assisting with collections, supporting purchasing processes, and tracking orders with suppliers. Additionally, you will order and track project permits and engineering plans to keep projects on schedule, maintain organized records, and ensure project documentation is current. You will work closely with management to prioritize tasks and meet deadlines in a dynamic environment. Responsibilities Assist with phone sales inquiries and customer follow-ups. Prepare and send customer quotes promptly and accurately. Schedule projects and coordinate with customers and installation teams. Prepare and send project billing and assist with collections as needed. Support purchasing processes and track orders with suppliers. Order and track project permits and engineering plans to keep projects on schedule. Maintain organized records and ensure project documentation is current. Work closely with management to prioritize tasks and meet deadlines in a dynamic environment. Essential Skills Experience as a project coordinator or project administrator. Proficient computer skills, including Microsoft Office, Google, Excel, and business software such as Knowify, QuickBooks, and Striven. Strong interpersonal, customer service, and communication skills. Excellent multitasking and organizational skills. Additional Skills & Qualifications Capable of managing multiple projects with competing deadlines and urgency. Prior experience in administrative support, construction, or a service-related business is a plus. Why Work Here? Work Environment The role is primarily based in an office setting, working Monday to Friday from 8am to 5pm, with some overtime required. You will be communicating with customers and internal employees, coordinating essential tasks in a fast-paced environment. Job Type & Location This is a Contract to Hire position based out of Tucson, Arizona. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr.
