Position Overview
We are seeking an experienced and highly organized Office Manager with a construction industry background to lead the day-to-day administrative and operational functions of our Redmond-based headquarters. This person will act as the backbone of the office, working closely with ownership and field leadership to ensure seamless payroll, billing, HR, and contract management processes.
This is a 100% on-site position and is only open to current Washington State residents.
Key Responsibilities
Payroll & HR:
Process payroll using ClockShark integrated with QuickBooks
Manage employee onboarding, I-9s, L&I claims, and maintain safety plans
Serve as point of contact for all employee relations and HR coordination
Billing & Accounting:
Handle Accounts Payable and Receivable in QuickBooks
Manage billing processes across multiple ongoing commercial projects
Contract & Office Administration:
Oversee and track project contracts
Maintain documentation and scheduling for office functions
Serve as the liaison between field crews and the office
Leadership & Communication:
Maintain flexibility in priorities and multitask across multiple roles
Communicate clearly and effectively across diverse personalities and language barriers
Be assertive and confident in an energetic, fast-paced office
? Required Qualifications
35 years of Office Manager experience in a commercial construction environment (subcontractor or general contractor preferred)
Proficient in QuickBooks, payroll, and billing (AP/AR)
Experience in HR administration, employee onboarding, and L&I claims
Comfortable working with field staff (Spanish-speaking crews bilingual a plus but not required)
Strong organizational and time management skills
Professional, business casual demeanor
