This position is based in the district's central office and includes occasional support for events, off-site meetings, or school visits. The role involves frequent interaction with district staff, board members, families, university partners, and the broader community. A positive, welcoming, and team-oriented demeanor is essential.
Qualifications:
- High School Diploma required; Associate's or Bachelor's degree preferred.
- Minimum of 3 years of experience in an administrative support role, preferably in a school district or educational setting.
- Proven experience supporting district-level or executive administrators.
- Proficiency in Google Suite and other office applications; experience with data systems, project management tools, and digital platforms is a plus.
- Exceptional interpersonal, written, and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
- Strong organizational skills with the ability to prioritize tasks, manage multiple deadlines, and work under pressure.
- Demonstrated initiative, problem-solving skills, and commitment to a collaborative, team-oriented environment.
- Familiarity with project management or workflow tracking tools.
- Background in preparing reports, creating visuals, and supporting communication to diverse stakeholder groups.
- Experience with digital communication tools such as Smore, Canva, Adobe Creative Cloud, or web content management platforms.

The School District of Springfield Township is seeking a highly organized, proactive, and service-oriented Executive Assistant to support the Assistant Superintendent and Director of Support Services within the Office of Teaching and Learning. This pivotal role supports the effective and efficient functioning of educational programs, professional learning, and departmental operations.
As a central liaison between district leadership, schools, community members, and external agencies, the successful candidate will demonstrate exceptional organizational, interpersonal, and communication skills. This role demands adaptability, independent judgment, confidentiality, and a high level of attention to detail while managing multiple responsibilities in a dynamic and collaborative environment.
Key Responsibilities
Administrative and Operational Support
Provide comprehensive daily administrative support to the Assistant Superintendent and Director of Support Services.
Monitor and coordinate office workflow, manage official records, and maintain organized documentation systems.
Serve as a liaison between the Office of Teaching and Learning and other district departments, schools, agencies, universities, vendors, and community stakeholders.
Assist with annual budget preparation and expense tracking, ensuring alignment with district procedures and timely submission of purchase orders and invoices.
Oversee the conference and travel request process, ensuring timely submissions and approvals aligned with board policies.
Coordinate interpreter services and manage updates to the district calendar and office webpages.
Program Coordination and Compliance
Manage the Home Education process, ensuring compliance with state regulations and accurate communication with families.
Facilitate student teacher and intern placements, acting as the point of contact with HR and university partners.
Support new staff onboarding and new educator induction by assisting with scheduling, logistics, and documentation.
Coordinate logistics for professional learning sessions, including site support, materials preparation, and vendor relations.
Track and enter data related to Act 48 hours and required paraprofessional training, ensuring compliance and accessibility for staff and administrators.
Communication and Stakeholder Engagement
Draft and prepare correspondence, reports, and presentations to support clear and professional communication across the district.
Create digital and graphic content for newsletters, events, and communication tools using platforms such as Smore, Canva, and Adobe Creative Cloud.
Coordinate updates and messaging across web platforms and support social media communications for the Office of Teaching and Learning.
Technology and Data Systems
Use Google Suite, Microsoft Office, and district-specific platforms (e.g., Comply, PA-ETEP, PowerSchool, and Schoology) to manage workflows, calendars, and data.
Demonstrate initiative in learning new systems and tools; provide basic troubleshooting and technical support to staff when necessary.
Support project tracking and assist with data visualization and analysis related to instructional programs and staff development.
Terms of employment:
12 month, full-time position to be determined in accordance with the Confidential Terms and Conditions of Employment. Position to begin as soon as possible.
