Supervise the daily execution of work at construction sites to meet quality and timeliness requirements.
Our Waterloo & GTA offices are looking for an Intermediate Contract Administrator ready to join our growing Canadian Operations within our Construction Phase Services group.
The Water Group within GHD Canada works with regional and municipal clients, as well as servicing the private industry on a variety of projects across the whole spectrum of water facilities including Water & Wastewater Treatment Plants, Pumping Stations, Potable Water Towers, and Underground Water and Sewer Infrastructure. Our team provides integrated engineering services throughout the project lifecycle from asset management, planning, detailed design, and engineering services during construction.
Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
- Responsible for the Contract Administration role for private, provincial, and municipal infrastructure projects.
- Liaise with the project managers, designers, field inspectors, contractors, property owners, and clients daily throughout the construction period.
- Responsible for execution of all contract administration documents, monthly payment certificates, substantial & total performance documentation.
- Responsible to work with the project team to manage field changes, construction claims, and to find resolution to construction issues throughout construction.
- Responsible for hosting construction progress meetings, drafting of meeting agendas, and issue of meeting minutes for record.
- Maintaining of the electronic and paper filing systems as per ISO standards
- Work with project staff to develop and maintain project policies and procedures related to quality, safety, the environment, and professional ethics.
- Work with field inspection staff on the project as they perform inspection, daily observation reports, track on-site resident issues, manage deficiencies, as-built record drawings, and to log photographs throughout construction.
- Assist our engineering teams with constructability reviews as required for project designs, as well as scope changes during construction.
- Liaise with Clients regarding future engineering opportunities for the GHD team.
Responsibilities
- External Communications: Help others get the most out of external communications systems by offering support and advice.
- Construction Management: Provide operational support services and sometimes act as first-line supervisor of an area of a construction project. Involves using existing systems and protocols.
- Health, Safety, and Environment: Follow the organization's health, safety, and environment (HSE) policies, procedures, and mandatory instructions to identify and mitigate environmental risks and risks to the well-being of self and others in the workplace; instruct the team in safe working methods; identify instances of risky behaviors within the team and take appropriate action, escalating serious issues as appropriate.
- Work Scheduling and Allocation: Assign short-term work schedules to a team of subordinates in order to achieve expectations while following established timelines.
- Leadership and Direction: Explain the local action plan, to support team members in their understanding of what needs to be done, and how this relates to the broader business plan and the organization's strategy, mission, and vision; motivate people to achieve local business goals.
- Performance Management: Respond to personal objectives and use performance management systems to improve personal performance; or monitor the performance of the team, allocate work and review completion, take appropriate corrective action to ensure timeliness and quality, and contribute to formal individual performance management and appraisal.
- Organizational Capability Building: Provide coaching to team members to develop their skills.
- Operational Compliance: Identify, within the team, instances of noncompliance with the organization's policies and procedures and/or relevant regulatory codes and codes of conduct, reporting these instances and escalating issues as appropriate.
- Quality Assurance: Plan and coordinate testing and inspection of products and processes. Implement corrective actions or continuous improvement initiatives and monitor them to make sure they are effective.
What you will bring to the team:
- C.E.T designation, (OACETT rcca designation preferred), or Professional Engineers Ontario designation as a P.Eng preferred.
- Minimum 5 years experience in the water industry with a substantial focus on water & wastewater facilities, pump stations, and underground water and sewer infrastructure.
- Minimum 2 projects experience as a Contract Administrator on water and/or wastewater contracts with construction value greater than $5 million.
- Experience with contract administration documents, including but not limited to progress payments, field orders, change orders, change directives, RFIs, leading site meetings, preparation of minutes, and providing guidance to the contract team in relation to contractual items.
- Proficient with construction drawings, contract specifications, CCDC, OPSS, client standards, and other related documents & agencies.
- Proven aptitude for estimating construction schedule, quantities, and costs.
- Excellent organizational and prioritization skills are a must.
- Strong communication skills, both oral and written.
- Proficient with MS Word, Excel, and MS project, and/or other scheduling software.
- Ability to establish effective working relationships in a team environment with colleagues, associates, contractors and clients.
- Ability to effectively multi-task and work in fast paced, high change environment.
- Good initiative and attention to detail.
- Strong skills in conflict resolution
- Ability to work from home, from office, or remotely on project sites that require on-site presence of Contract Administrator during construction.
- Valid drivers license with clean abstract
