Project Coordinator

Position Summary
We are seeking a highly organized and proactive Project Coordinator to support our residential construction and land development projects. This role is integral to ensuring that projects run smoothly, efficiently, and on schedule, by coordinating between field teams, consultants, trades, suppliers, and internal departments. The ideal candidate thrives in a fast-paced environment, demonstrates strong communication and administrative skills, and is passionate about residential building and community development.
Key Responsibilities
Project Coordination & Administration
Assist the Project Manager and Site Crew with daily coordination of active construction sites.
Maintain detailed and organized documentation (RFIs, submittals, permits, change orders, etc.).
Schedule inspections, deliveries, trades, and consultant visits.
Prepare, issue, and track purchase orders and subcontractor agreements.
Ensure drawing sets and specifications are current and distributed to relevant parties.
Monitor project timelines and critical path items, flagging delays or issues.
Communication & Liaison
Serve as the central point of communication between project stakeholders (consultants, municipal authorities, trades, clients).
Attend site and coordination meetings, take minutes, and follow up on action items.
Coordinate with the City or Municipality to secure permits, inspections, and occupancy approvals.
Liaise with internal departments (sales, marketing, design, accounting) to ensure alignment on deliverables.
Quality Control & Reporting
Support the implementation of company standards for safety, quality, and sustainability.
Assist with deficiency tracking, warranty handoffs, and homeowner documentation packages.
Maintain project dashboards, status reports, and filing systems.
Track budgets, invoicing, and change orders with accounting support.
Qualifications
Education & Experience
Diploma or Degree in Construction Management, Architecture, Engineering, or a related field.
2+ years of experience in a similar role in residential or mixed-use construction.
Experience with both low-rise and mid-rise wood-frame construction is preferred.
Technical Skills
Proficient in Microsoft Office Suite (Excel, Word, Outlook, Project).
Experience with construction management software (e.g., Procore, Buildertrend, Bluebeam, PlanGrid).
Understanding of BC Building Code, municipal permitting processes, and WorkSafeBC guidelines.
Soft Skills
Strong organizational and time-management abilities.
Excellent written and verbal communication.
Detail-oriented with the ability to multitask.
Team-oriented with a collaborative mindset.
Additional Requirements
Valid BC drivers license and access to reliable transportation for site visits.
Ability to travel between sites and the Company office / yard.
Flexibility to work extended hours during peak project phases.
