Job Summary/Description
Provides administrative support for facilities contracts and construction projects, including drafting contracts and RFPs, managing budgets, processing requisitions, and coordinating communication between ASU departments, project managers, and external vendors.
Typical Duties/Job Duties
Monitors and reconciles project budgets to ensure expenditures remain within approved funding and encumbered purchase orders. Tracks financial progress across multiple service contracts and projects, identifies discrepancies, and supports timely adjustments to maintain fiscal compliance and project alignment.
Works closely with the Assistant Director of Contracted Facilities Services to maintain organized and up-to-date documentation related to service contracts, including inspection records, change orders, and proposed service schedules. Coordinates with faculty, staff, and other university personnel to communicate service expectations, timelines, and relevant administrative updates.
Drafts and prepares contracts, amendments, and supporting documentation to ensure alignment with university procurement policies and state regulations. Verifies that contract values remain within applicable state procurement thresholds and ensures all required documentation is complete and properly filed. Maintains organized records of contract activity and supports timely processing for approvals and renewals.
Assists project managers with construction projects by reviewing pay applications, tracking invoices, and assisting with documentation and other administrative tasks as requested by the department. Conducts periodic audits throughout the life of each project to help ensure budget compliance and prepares the department and projects for potential future state audits.
Provides administrative support to Facilities Directors and other facilities personnel to ensure effective coordination of contracted services and project-related processes.
Knowledge, Skills and Abilities
Demonstrated attention to detail with strong analytical and problem-solving skills. Proven ability to support project workflows and manage competing priorities under minimal supervision.
Excellent verbal, written, and interpersonal communication skills, with the ability to work effectively with diverse individuals and teams.
Skilled in reviewing pay applications, tracking invoices, conducting budget audits, and preparing supporting documentation for internal and state-level audits.
Knowledge of commercial construction and facilities operations, including service standards, contract requirements, and accepted maintenance practices.
Proficient in the use of computers, general office equipment, and software such as Microsoft Office; ability to learn new systems quickly and adapt to evolving technologies.
Strong time management skills with the ability to perform well under pressure and handle high workloads efficiently.
Minimum Qualifications
An associate's or bachelor's degree in business, accounting, construction, engineering, or a related field is preferred. Relevant work experience may be considered in lieu of a degree.
A minimum of two years of supervisory experience in maintenance, construction, or project management, particularly within public or large-scale facilities, is required.
Must possess a valid Texas driver's license with a driving record acceptable to the university's insurance provider.
Employment is contingent upon the successful completion of a background check.
