- Marketing Project & Request Coordination (45%)
- Manage intake of marketing requests and ensure proper tracking, assignment, and deadlines
- Maintain project management systems to ensure smooth workflow between internal and external resources
- Coordinate with graphic design and proposal consultants, and help traffic materials to and from agency partners
- Support calendar planning and marketing campaign timelines
- Proposal & Pursuit Support (30%)
- Coordinate proposal and RFP efforts in collaboration with agency partners and internal stakeholders
- Assemble and update baseline content, resumes, project sheets, and boilerplate materials
- Ensure consistency and quality control in formatting, brand voice, and visual alignment
- Maintain and organize proposal archives, templates, and pursuit materials
- Assist in internal process improvements around efficiency, automation, and knowledge sharing
- Help streamline proposal logistics and assist in building repeatable systems for pursuit support
- Marketing Operations & Administration (15%)
- Maintain marketing assets, photo libraries, staff bios, and project stories
- Support vendor coordination, invoice processing, and event logistics
- Help manage jobsite signage, award submissions, and community sponsorships
- CRM & Reporting Support (5%)
- Assist with CRM contact management and campaign follow-up in partnership with the Business Development Specialist
- Support internal marketing and sales reports as needed
- Learning & Development (5%)
- Participate in marketing team meetings and business development discussions
- Take initiative in learning tools like Canva, Salesforce, or AI content platforms
- Contribute ideas for improving processes, systems, and storytelling approaches
- Regular, predictable, and reliable attendance.
- Performs other duties as assigned.
- Bachelors degree in Marketing, Communications, Business, or related field preferred or equivalent work experience.
- 2-5 years of relevant professional experience, internships included.
- Project coordination or administrative experience a plus.
- Must have a valid driver's license.
- Highly organized with strong attention to detail and time management
- Comfortable managing multiple projects and meeting deadlines
- Strong verbal and written communication skills
- Curious, coachable, and eager to learn new tools and platforms
- Exposure to marketing tools (e.g., Canva, Salesforce)
