Job Title : Regional Maintenance Supervisor

Salary Range : $120,000 to $135,000

Location : Greater Los Angeles or Orange County, California

Job Summary : The Regional Maintenance Supervisor is responsible for the maintenance operations for a portfolio of properties within a designated region. This role is instrumental in the development of company-wide maintenance policies, and procedures, including the implementation and adoption of technology programs. The Regional Maintenance Supervisor is involved with technical and mechanical work, budget management, team member leadership and training, and capital expenditures to ensure each community is maintained to the highest standards

Essential Duties and Responsibilities: *May include but not be limited to the following

Team Member Leadership & Training

  • Assists, supervises, and trains the maintenance team on technical and mechanical maintenance for the assigned portfolio of apartment communities.
  • Directs and establishes training to aid maintenance personnel in the most efficient performance of their duties.
  • Participates in the recruiting process for maintenance personnel including Maintenance Supervisors and Maintenance Technicians.
  • Cross trains, and provides ongoing coaching, mentoring, and development of qualified candidates for future opportunities within the company.
  • Provides guidance and training based on thorough knowledge and experience with mold prevention and remediation, asbestos and lead based paint protocols, and emergency response procedures.
  • Sets and executes priorities with the Vice President, Property Management and as directed by the organization.
  • Maintains a safe working environment for all onsite team members. Maintains a strong knowledge of OSHA standards, safety, facilities maintenance, capital improvements, and maintenance related purchasing.
  • Promotes good public relations with residents, co-workers, and company team members. Displays a friendly and courteous demeanor towards residents, customers, vendors, and other team members.
  • Periodically inspects the work performed by other maintenance team members to ensure adherence to company policies, procedures, and cleanliness standards. Provides timely feedback and participates in the annual performance evaluation process.
  • Respond timely and clearly to emails, phone messages, meeting requests, and any other form of communication as needed.
  • Seek and support opportunities to increase and promote positively to the company culture and reputation by providing exceptional service.

Policies & Procedures/Technology

  • Responsible for the implementation of new technology platforms related to maintenance operations, including Yardi Maintenance IQ.
  • Drafts and ensures legal compliance of maintenance policies and procedures related to maintenance operations and safety programs including use of the Shapell Injury, Illness, and Prevention program.
  • Utilizes technology and data to support the enhancement of maintenance operations at the site and portfolio level.
  • Stays aware of multifamily industry best practices and makes recommendations on enhancements related to maintenance operations for the portfolio and organization.

Operations

  • Continuously aware of the condition of the portfolio of communities and its grounds and take appropriate action to correct any deficiencies to maintain brand standards.
  • Ensure all community systems testing is completed on time as required, per code and company policies.
  • During regular site visits inspect all vacant units, buildings, common areas, and document necessary repairs.
  • Ensure accurate records are maintained regarding preventative maintenance, work orders, unit and annual inspections, inventories, purchase orders, and warranties.
  • Monitor community contracts and suppliers, their services, pricing, and goods. Including obtaining bids, writing scopes of work, and verifying compliance with insurance requirements.
  • Perform all work according to the safety standards of the Company and as outlined in the Injury and Illness Prevention Program and Hazard Communication manuals and report any incidents immediately to the appropriate team members.
  • Assists in coordinating redevelopment work, new construction punch walks, and turnover of units and common areas in partnership with construction.
  • Regularly analyzes and evaluates cost control, inventory management, and work order trends. Contributes to monthly variance reports and the annual budget process. Makes recommendations on capital projects to support long term asset preservation.
  • Periodically inspects the work performed by third party contractors, vendors, and other service providers to verify the work performed, ensure scope and specifications are complete as contracted, and ensure the workmanship meets the quality standards of the company.
  • Develops, along with the Community Manager and Regional Supervisor/Director scopes of work for community level operational and capital projects.
  • Assist the Regional Supervisor/Director in defining annual apartment inspections/preventative maintenance. Documents, using available technology, community conditions and providing strategic plans for long term asset preservation. Participates in the annual capital planning process including defining project scope, budget, and vendor selection.
  • Complete special projects assigned and prioritized by the Company.

Qualifications include:

Education

  • Minimum high school diploma. Bachelor’s or technical degree preferred.
  • EPA Certification Type I & II, required. Universal Certification is a plus.
  • A Valid Driver’s License is required.

Work Experience

  • Requires at least 4 years of experience in a similar position.
  • Supervisory and people management and professional development experience.

Specialized Knowledge

  • Able to work proficiently in various computer software applications like Yardi (Maintenance IQ), ADP, and Microsoft Office.
  • Strong knowledge in the following areas: carpentry, plumbing, electrical, mechanical, painting, apartment make ready, cleaning, HVAC, appliance repair, fire protection systems, structural, roofing, concrete, paving, landscape, and irrigation.

Skills and Abilities

  • Must be able to plan and prioritize working with multiple deadlines and with varying degrees of difficulty.
  • Must possess effective problem solving, verbal and written communication skills.
  • Requires a high level of organizational and time management skills.
  • Regularly travel to and from communities located throughout California, periodic overnight travel may be required.
  • Ability to read and interpret documents such as invoices, specification sheets, safety rules, operating and maintenance instructions, blueprints, and procedure manuals.
  • Ability to add, subtract, multiply, and divide, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Working Conditions

Must work on-site periodically throughout the residential portfolio of communities. Working both inside and outdoors in the community. Some noise conditions and atmospheric exposures. Uneven ground, soft and hard flooring, and stairs. Repetitive upper body and lower body motion. Contact with tools and equipment, including hammers, drills, hand tools, electric tools and saws, augers, paint and drywall sprayers, and plaster guns, and general office equipment, including copiers and computers. Ongoing compliance with the uniform and company sponsored shoe program. Telephone and computer usage required.

Work schedules may include weekends and require being “on-call” evenings, scheduled days off and holidays. May require occasional or permanent changes in work schedule as the needs of the portfolio demand. Hybrid or remote work schedules may be available with supervisor's approval.
