Project Administrator - Local to NY, NJ, CT
Job Title Project Administrator
Location White Plains, NY
Duration 12 Months
Hours Weekly: 37.5hrs/week
Hybrid onsite role 3 days
Project Overview
The Waterway Infrastructure program consists of a large collection of projects and programs designed to revitalize the Canals for the next century of operation, driving economic development and climate resilience throughout. The Project Admin will support the financial, contractual, budgetary, and governance procedures that Clients relies on to deliver this work.
Job Functions & Responsibilities
Prepare requests for new projects.
Prepares project plans, risk registers, project justification memos, contractor award memos, purchase requisition worksheets, scopes of work and other administrative documents in the direction of Project Engineers.
Prepares purchase requisition worksheets and collects accounting information to prepare for new contracts.
Attend scheduling meetings, updates project costs on Excel worksheet based on updates to project schedule, updates UOPP and verify budgets are consistent.
Prepare award memos and change orders memos to authorize additional contract funding where required.
Tracks monthly invoices and prepares accruals where invoices are lagging behind
Reviews consultant monthly reports, meeting minutes, and agenda and verify completeness.
Review project activities for technical content, accuracy, cost control and schedule.
Skills
Strong project management skills with the ability to plan, execute and complete multiple tasks from start to finish with minimal direction and support from supervisors.
Strong knowledge of water resources engineering or construction experience desired.
Excellent interpersonal skills; good written and verbal communication skills with the ability to understand, organize and communicate technical engineering information clearly and effectively.
Proficiency with MS Word including cross-referencing, indexing and other functions.
Proficiency with MS Excel, able to use SUMIFS, COUNTIFS, develop Pivot Tables, and prepare high quality charts.
Working knowledge of SAP, Oracle Primavera, and Microsoft Teams preferred.
Education & Certifications
College degree from accredited institution in engineering or related field
CCM, PE, PMP or other professional certification preferred
