Reports to: Facilities Coordinator FLSA Status: Exempt

Position Summary: The Facilities Supervisor is responsible for managing the day-to-day operations of the school district’s in-house maintenance program. This leadership role oversees Facilities Technicians, prioritizes and assigns work orders, and ensures all maintenance tasks are completed efficiently, safely, and to a high standard. The Facilities Supervisor conducts site assessments to scope repair and installation needs, coordinates necessary materials and labor, and plays a critical role in after-hours emergency response.

Essential Duties and Responsibilities:

Work Order Management & Prioritization

  • Oversees daily in-house maintenance activities across all school district facilities.
  • Reviews incoming work orders through the district’s computerized maintenance management system (CMMS) and prioritizes assignments based on urgency, safety, and operational impact.
  • Assigns and dispatches Facilities Technicians according to skill set, location, and availability.
  • Tracks progress and ensures timely completion of work orders while maintaining quality standards.

Site Assessments & Work Planning

  • Conducts on-site evaluations to assess the scope, complexity, and requirements of maintenance issues and projects.
  • Determines appropriate approach for repair or replacement and identifies labor, tools, and materials needed.
  • Provides technical guidance and support to Facilities Technicians in the field.

Material and Resource Coordination

  • Orders and stages necessary materials, tools, equipment, and products to support maintenance operations.
  • Maintains inventory control of commonly used supplies and coordinates procurement of special-order items in collaboration with the Facilities Coordinator or Director.
  • Ensures cost-effective purchasing aligned with district guidelines and policies.

Team Oversight and Support

  • Provides daily oversight, direction, and support to Facilities Technicians to ensure tasks are performed efficiently and safely.
  • Serves as a point of contact for troubleshooting technical issues and resolving on-site challenges.
  • Maintains open communication with the Facilities team and fosters a collaborative work environment.

Emergency and After-Hours Response

  • Responds to emergency maintenance situations, as needed, after normal business hours, including weekends and holidays, to ensure facility operations are promptly restored.
  • Coordinates appropriate response and ensures follow-up work is completed or scheduled as necessary.

Collaboration and Communication

  • Works closely with school administrators, custodial staff, and department leads to communicate schedules, coordinate access, and minimize disruption to instructional or operational activities.
  • Keeps the Director of Facilities and Facilities Coordinator informed of maintenance issues, project statuses, and resource needs.

Other Duties

  • Maintains accurate records of completed work, site assessments, material use, and technician assignments.
  • Partners with the Facilities Coordinator to review and evaluate all Key Performance Indicators related to work orders, ensuring alignment with and achievement of annual performance goals.
  • Ensures compliance with applicable safety codes, building codes, and district maintenance standards.
  • Performs other related duties as assigned by the Facilities Coordinator.

Minimum Qualifications:

Education: High school diploma or GED required; technical certification or coursework in a skilled trade required

License/Certification: Valid Georgia driver’s license with a clean driving record.

Experience: Minimum of five (5) years of experience in building maintenance, facilities operations, or a skilled trade, with at least three (3) years in a supervisory or leadership capacity.

Knowledge, Skills, and Abilities:

  • Strong working knowledge of mechanical, electrical, plumbing, and structural building systems.
  • Experience with assigning and managing work orders within a CMMS or similar system.
  • Ability to assess maintenance issues and determine appropriate scope of work and repair methods.
  • Familiarity with tools, materials, and equipment used in general facilities maintenance and repair.
  • Strong planning, organizational, and time-management skills.
  • Ability to lead a team and communicate effectively with both technical staff and non-technical stakeholders.
  • Knowledge of safety practices, OSHA requirements, and applicable codes and regulations.
  • Strong problem-solving skills and the ability to make decisions under pressure, especially in emergency situations.

Physical Requirements:

  • Must be able to stand, walk, bend, climb, and lift for extended periods.
  • Must be able to lift and carry up to 50 lbs frequently and up to 75 lbs occasionally.
  • Ability to work both indoors and outdoors in varying weather conditions.
  • Ability to respond to emergency maintenance calls at any time, including evenings and weekends.
