Position Summary

The Ares Diversified Construction Management team supports the real estate equity investment and acquisitions, development, asset management, and debt teams from underwriting through due diligence, pre-development, construction, and operations phases. The teams primary focus is on design and quality control, budget management, and schedule management throughout these phases. We are currently involved in more than 100 (multifamily, industrial, hospitality, retail, office) projects in various stages of development throughout major markets across the country.

The Project Coordinator role will focus on providing project-specific support and coordination to the nationwide projects and team. The position is responsible for communicating across various internal and external stakeholders and will be the primary point of contact for the workstreams they are managing. The environment is fast-paced, and this individual will be expected to immediately contribute to the teams success.

Essential Duties

  • Monthly Project Funding Requests
    • Conduct a full review of submission to ensure all required materials have been received
    • Detailed review of invoice back up, lien waivers, and stored materials
    • Follow up with internal and external project teams regarding errors and discrepancies as necessary
    • Input monthly funding data into applicable software (Yardi CM, Excel, proprietary cloud-based systems)
    • Input additional construction data into standard templates and/or software (construction buy out logs, change order logs, construction schedules, etc.)
    • Coordinate final approvals of final monthly funding request
    • Compile project monthly report
    • Run kick-off call with new project teams
  • Yardi Construction Manager
    • Set up new vendors
    • Input contracts
    • Input commitments
    • Receive, collate, and input monthly invoices
    • Participate in preparation of monthly draw request
  • Assist with property level tasks including creating, drafting, and reviewing contracts, purchase orders, change orders, RFPs, bids, budget capital tracking, and ad hoc requests
  • Assist with Yardi CM inputs to ensure all projects are current and accurate
  • Prepare routine correspondence such as letters, memos, meeting notes and proposals, including review of outgoing materials to conform with industry-best practices, standards and formats
  • Track team key information including milestone dates and current status
  • Review project insurance certificates for compliance and track expiration dates; follow up on expiring policies
  • Provide updates on primary tasks to team on weekly project coordination calls
  • Respond to correspondence in a timely manner
  • Organize and file documents according to established policies
  • Other ad hoc reports and responsibilities to support the projects and the growing team as requested

Required Knowledge, Skills and Abilities

  • Bachelors degree with undergraduate coursework in business, finance, accounting, real estate, or related field
  • Familiarity with commercial real estate and/or construction management preferred
  • Minimum 2 years related/applicable work experience.
  • Proven proficiency and advanced knowledge of Word, Excel, PowerPoint, Outlook, and Adobe Acrobat required. Yardi CM experience preferred.
  • Proactive work ethic required - ability to be forward-thinking and solve problems, anticipate roadblocks and proactively mitigate issues, improve efficiencies, implement lessons learned, seek out additional responsibilities and guidance when needed
  • Manage numerous parallel work streams and prioritize across all responsibilities
  • Consistently meet deadlines and deliver high quality work
  • Self-check work to ensure error-free deliverables with meticulous attention to detail
  • Proven ability to communicate effectively (oral and written) with internal and external colleagues
  • Consistently demonstrate high standard of personal accountability and integrity in actions and communication
  • Execute responsibilities with appropriate sense of urgency and follow-through
  • Ability to work as part of a team and build collaborative relationships

Compensation

The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.

$75,000.00 - $85,000.00
