Position: Contract Administrator

Location: Fairfax, VA or Irvine, CA

On-site / Hybrid: On-Site (Hybrid okay)

Position Description:

The Contract Administrator will report to the Vice President of Contracts and will support both internal and external customers in the daily administration of company contract agreements, ensuring compliance with company policies and procedures, legal requirements, and customer or contract specifications. The ideal candidate will have comprehensive experience in cradle-to-grave administration of federal government prime contracts and commercial contracts. Strong written and verbal communication skills, attention to detail, critical thinking, and the ability to work proactively with minimal supervision in a fast-paced environment are essential.

Required Skills:

  • Cradle-to-grave contract administration for U.S. Government, Foreign Military Sales (FMS), and Direct Commercial Sales (DCS) contracts
  • Prepare bids and proposals, including review and analysis of solicitations, ensuring compliance with solicitation requirements, risk management, and adherence to company policies and processes
  • Conduct risk assessments and development of mitigation strategies and plans for program and management review
  • Assess and establish the appropriate terms and conditions, including customer flow-down provisions, to prepare an analysis for negotiation positions
  • Prepare and disseminate information and provide guidance to relevant staff members regarding contract requirements and status
  • Regularly interact with program managers to support and resolve contractual needs or issues and ensure contract compliance
  • Prepare, review, and negotiate Non-Disclosure Agreements (NDAs), Consulting Agreements, Sales Representative Agreements, and Teaming Agreements (TAs)
  • Maintain internal company contractual records and databases, including correspondence and documentation for established contracts and negotiations
  • Collect contractual data and compile reports to respond to corporate and business area requests
  • Analyze financial reports and technical documents to ensure contractual compliance
  • Experience in administering Firm-Fixed-Price (FFP), Cost-Reimbursable, Time and Materials (T&M), and Indefinite Delivery/Indefinite Quantity (IDIQ) contracts with the U.S. Government and Department of Defense in a production environment
  • Comprehensive knowledge of government and commercial contracting policies, including the Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulations Supplement (DFARS), and the Uniform Commercial Code (UCC), to effectively interpret and advise on contractual risks and requirements
  • Experience in supporting bid and proposal preparation, which includes pricing and cost analysis
  • Highly organized and detail-oriented, demonstrating strong time management and critical thinking skills with the ability to coordinate and prioritize multiple projects in a fast-paced environment
  • Capable of working productively both independently and as part of a team to achieve project objectives within designated timelines
  • Strong written and verbal communication skills, effectively engaging with both internal and external customers
  • Must be proficient in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint)

Preferred Skills and Abilities:

  • Experience setting up and administering General Services Administration (GSA) contracts
  • NCMA Certified Contracts Management Professional (CPCM) or equivalent certification
  • Experience with Microsoft Dynamics NAV (Navision) or Cetec ERP
  • Experience with Cetec ERP

Education and related experience:

  • Bachelor's degree in business administration, related field
  • 4-7 years of federal contract administration experience

Travel :

  • Occasional travel may be required

It is an essential requirement for the person in this role to have a legal right to work in the United States and be eligible to obtain any required Export Authorization and DoD Clearance.

Salary: $100,00 - $120,000 annual salary

Salary depends on relevant work experience, education, training, essential skills, and/or other factors such as specialized or high-demand professions. In addition to the annual salary, the position will be eligible for an annual bonus. The pay range for this job level is a general guideline only and not a guarantee of salary or annual bonus.
