OVERVIEW:
This role is a member of the Back Office organization reporting to the Manager of Contracts & Confirmations. The role provides support for the Supply, Trading and Logistics organization, and is an excellent opportunity to gain experience in the Trading and Commercial side of the business and develop formal and informal leadership skills.
PRINCIPAL DUTIES:
Provide guidance to the confirmation analysts and ensure quality of contracts/responses drafted for the purchase and sale of physical and financial commodities, including both waterborne movements, non-marine and derivative trades.
Monitor and manage assignments and workload for a team of confirmation analysts.
Support the successful implementation of the contract lifecycle management system (Sirion), including the integration of SAP 4Hana with this system. This will also include being the single point of contact for the business needs with Sirion and ATA IT project teams, identifying and tracking deficiencies in the Sirion to closure with internal and external teams, and providing input into technical solutions needed to successfully implement Sirion.
Support the offshore confirmation team in discussions with internal and external stakeholders to ensure that all confirmations are fit for purpose and are recorded in alignments the trade capture system (SAP 4Hana), which includes providing support and guidance for analysts when challenges or unusual situations arise.
Ensure offshore confirmations analysts are dispatching confirmations within contractual deadlines and internal targets by tracking, monitoring and reporting of KPI's for the Confirmations team members. This includes detailed monitoring and coaching if analysts are not meeting targets.
Develop and maintain desk procedures for confirmation analysts and ensure proper training is deployed for use of the trade capture, CLM and other systems.
Ensure the content of the CLM system is up to date and in alignment with requirements from Contracts Analysts and Legal teams and is being applied consistently by confirmation analysts.
Follow established company and departmental contract processes and procedures. Identify and suggest updates and/or improvements to procedures, as necessary.
MINIMUM REQUIREMENTS:
Bachelor's degree in business, management, finance, IT or other related field. Equivalent combinations of experience and education will be considered.
Prior experience in an energy trading and marketing environment and a powerful desire to learn.
Experience with IT project implementation or development, formal project management training.
Technical knowledge in coding language or other IT related skills.
Expert knowledge in Microsoft Excel.
Direct people leadership experience.
Ability to effectively communicate to different levels withing the organization, including management and direct reports.
Must be willing to travel overseas 1-2 times annually to visit offshore team.
