We have an opportunity at our corporate offices in Chicago for a Sr. Contracts Coordinator I on our Corporate Services team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This position provides contract administration support for AMA's Corporate Services team. Responsible for the administration of the Contracts Management System, Ironclad including entering and processing contracts in accordance with requirements, established policy, and procedures. Interacts with Strategic Sourcing, Offices of General Counsel and Finance and is responsible for contracts administration for existing contracts, new business and proposal efforts. Also completes operational and administrative tasks as requested.

RESPONSIBILITIES:

Contract Administration Support

  • Responsible for the administration of Contracts Lifecycle Management (Ironclad).
  • Coordinates the processing of all legal agreements for the Corporate Services team (MSAs, addendums, amendments, SOWs, NDAs, terms and conditions, pricing structures, payment schedules, delivery timelines, etc.).
  • Enters contracts in the system and ensures that contracts and all accompanying documentation are properly and securely maintained.
  • May recommend and implement updates to workflow issues.
  • Monitors contract compliance, completes change orders and resolves contract blockers, disputes and final execution. Identifies potential risks within contracts and coordinates with AMA's internal counsel and Finance team to ensure contracts align to best practices.
  • Runs reports and tracks key performance indicators (KPIs) and reviews contracting data to identify areas for improvement.
  • Ensures all contract documents align with AMA policies and legal standards. Conducts departmental audits to ensure that the contract process continually meets internal audit requirements.
  • Serves as liaison between Corporate Services and key external and internal stakeholders, ensuring effective collaboration and closed-loop communication.
  • Collaborates with Strategic Sourcing to ensure contracts are appropriate.
  • Supports meeting services team as needed, by conducting market research and identifying potential vendors may, gathers/submits contract requirements and provide comparable listings/proposals to support recommendations on venues, hotels, etc. for AMA initiatives, events, projects, etc.

Project Support

  • Conducts contract meetings with Corporate Services Project Managers on timelines relating to departmental needs and expectations.
  • Identifies specific issues in relation to completeness, accuracy or compliance of a contract.
  • Provides general operational and administrative support as needed.

May include other responsibilities as assigned

REQUIREMENTS:

  • Bachelor's degree preferred.
  • 3 years' experience in an administration role required; exposure to contracts required.
  • Strong written, verbal and interpersonal skills to interact with internal and external stakeholders. Due to the requirements and specifications involved in this role, written accuracy is a must).
  • Understanding of legal terminology a plus.
  • Attention to detail.
  • Strong time management skills, process development/implementation and self-initiated action to identify and resolve workflow problems.
  • Strong critical thinking skills, such as problem-solving, issue spotting and decision making.
  • Excellent organization skills; ability to handle a variety of projects and project-related activities simultaneously, requiring frequent communication and prioritization.
  • Ability to develop and maintain solid working relationships with internal and external parties.
  • Discretion and ability to maintain a high level of confidentiality.
  • Experience with Microsoft Office/Teams (Adobe, Word, Excel, and Outlook).

This role is an exempt position, and the salary range for this position is $51,775-$67,198. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
