Position Overview:

The Project Coordinator assists in planning, organizing, and overseeing roofing projects to

ensure they are completed on time, within budget, and according to quality standards. They

serve as the link between clients, contractors, suppliers, and internal teams.

Key Responsibilities:

  • Assist project managers with tracking and maintaining documentation, including

submittals, RFIs, and project schedules for commercial roofing jobs.

  • Process permits required for roofing installations and repairs, working closely with local

municipalities and inspectors.

  • Request and manage Certificates of Insurance (COIs) from subcontractors and vendors

to ensure compliance.

  • Assist in preparing, recording, and distributing meeting minutes for internal and external

project meetings.

  • Document and distribute sales review meeting notes, ensuring all relevant information

is captured and relayed to project stakeholders.

  • Work alongside the Contract Administrator to create and maintain Microsoft Teams

channels for each project, organized by project pods or regions.

  • Coordinate and complete project closeout documentation, including gathering warranty

paperwork, final inspections, and punch list items. Support the project team by maintaining a high level of accuracy, organization, and

follow-through on all assigned tasks.

Preferred Skills:

  • Experience working with permitting agencies or municipalities for roofing projects.
  • Familiarity with AIA documentation, construction submittals, and RFI processes.
  • Understanding of insurance requirements and tracking COIs in a construction setting.
  • Proven experience in a project coordination or administrative role, preferably in

construction, architecture, or a related field.

  • Strong organizational and time-management skills with the ability to manage multiple

tasks simultaneously.

  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams); familiarity with

project management tools.

  • Demonstrated ability to work collaboratively across departments and with external

stakeholders.

  • Strong attention to detail and a commitment to maintaining accurate records.

Preferred Qualifications:

  • Familiarity with construction project terminology and workflows.
