General Responsibilities
The Superintendent is responsible for the day to day supervision, oversight, and maintenance and monitoring of the site's facilities, equipment, plumbing, electrical, hot water, sprinkler, standpipe, HVAC and all other facilities/systems on the site. This is a full time live-in position.
Specific Duties and Responsibilities:
Under the direction of the Property Manager or his/her designee, the Superintendent will perform these functions:
Employee Supervision
Supervise the daily, weekly and monthly work schedules of the Porters, including delegating janitorial tasks and ensuring proper rubbish removal.
Provide and support employees' development and safety through cross training for employees on the proper maintenance procedure to foster safe and sanitary living conditions for the building and its resident populations.
Working knowledge of OSHA requirements.
Works with Property Manager on issues pertaining to employee and tenant relations.
Maintenance and other related tasks
Vacancy Turnover / Unit Inspections
Inspection of vacant units before vacancy preparation and after vacancy preparation.
Supervise contractor repairs to confirm work is completed timely and according to scope.
Monitor and track progress of make-ready units in a timely manner and provide copy of status punch list weekly to Property Manager.
Provide final signoff and the keys of completed/ ready units for move-in.
Conducts annual unit inspections of all occupied units.
Conducts additional inspections as needed in preparation for third party agency site visits, inspections, and audits.
Maintenance Coordination and Tracking
Completes work orders timely, as assigned. Notifies Property Manager when work order requests require third party contractor intervention.
Maintain heating plant and equipment to supply adequate heat and hot water; including daily, weekly and monthly maintenance log reports.
Inspect all plant equipment regularly to ensure proper operation and maintenance by outside service contractors. Including boilers, pumps, HVAC, elevators, heat pumps, electrical systems, etc.).
Troubleshoot and diagnosing systems problems (i.e. boiler, pump, HVAC, etc.) and track, monitor and follow-up on repairs through completion to correct in-house or contractor's repairs.
Make referrals and recommendations to the Property Manager for facility work repairs; including soliciting and submitting proposals for the scope of repairs to be done.
Supervise all building related cleaning tasks to maintain clean building as required, including but not limited to sweeping, buffing, scrubbing, pressure washing sidewalk, carpet shampooing, etc.
Conduct and complete weekly inspections reports of the building's exterior and interior via walk-through inspection and submit copies of the inspection reports to the Property Manager.
Responsible for maintenance of building grounds (landscaping, snow and debris removal.
Vendor Relations
Maintain vendor relations and determine work scope for outside projects. Research and obtain proposals as needed.
Requisitions supplies and services as required.
Upon completion, inspect all work by outside contractors and sign off on all jobs to confirm quality work has been completed according to specifications.
City, State, NYFD Violations Processing
Act as liaison with various City &/or State agencies/depts. (i.e. DEP, Fire Dept., Police Dept., etc.) to ensure compliance. Notify management of vendor/agency visits.
Seek immediate resolution of violations including completing repairs as needed, follow up and approval, completion of certifications with respective agencies, appearance in court as needed on behalf of owner/agent.
Keep abreast of new governmental regulations and restrictions concerning maintenance operations and/or health, safety and environmental.
Other assigned duties and responsibilities:
Respond to all on site emergencies, as well as participate in emergency response protocols to ensure resident and site safety during emergent situations (i.e. fires/floods, disasters).
Maintain professional and courteous customer service relations with all residents.
Works with various building management systems and related software programs regarding building system performance, maintenance, and reporting requirements.
All other duties as assigned.
Requirements:
High school graduate or GED equivalent.
Five or more years' superintendent experience, preferably in a large multi-family development.
Strongly preferred - two years of experience maintaining VRF air source heat pump heating and cooling systems, air source heat pump domestic hot water systems, energy recovery ventilation systems, emergency backup generators, Building Management Systems.
Working knowledge of property maintenance, supervision experience, general knowledge of real estate management.
Knowledge of building systems including but not limited to HVAC, boilers, appliances, electrical, plumbing, carpentry, and general construction.
Ability to complete assignments efficiently, set priorities, meet deadlines, work on several projects at once, and to deal with staff effectively at various locations.
Strong focus on customer service and managing tenant relationships in a professional and courteous manner. Must have a sensitivity for and understanding of the needs of the elderly.
Must be able to live on-site and respond to all on-site emergencies.
Possession of related boiler and FDNY standpipe licensures and certifications, or ability to obtain required certifications within 90-days of start date.
Ability to handle and lift up to 50lbs without assistance.
