Position Overview

We seek a highly experienced and technically skilled Administrator & Estimator with a minimum of 5 years hands-on experience in construction and renovations administration. Candidates must demonstrate proven expertise in project estimating, advanced drafting, bookkeeping, and project management within the architectural or construction industries.

For the right candidate who shows strong foundational skills, eagerness to learn, and a solid work ethic, we are willing to provide training on specific company systems and software.

Key Responsibilities

Generate precise, competitive cost estimates using PlanSwift and similar estimating software with detailed breakdowns.
Manage and track all stages of the project lifecycle, ensuring adherence to scope, schedule, and budget.
Produce technical architectural drawings and permit documentation with advanced proficiency in AutoCAD and other drafting software.
Employ 3D modelling software to produce project visualizations.
Maintain detailed and accurate bookkeeping in QuickBooks, tracking project profitability, costs, and cash flow with strict accuracy.
Oversee payroll, accounts payable/receivable, contract documentation, and compliance records.
Coordinate between clients, suppliers, subcontractors, and internal teams with exceptional communication skills.
Use project management tools such as Sling, Sortd, and CRM systems effectively for comprehensive project tracking.
Negotiate supplier and subcontractor agreements ensuring cost-effective and timely delivery.
Identify and mitigate project risks proactively to avoid delays or budget overruns.

Mandatory Qualifications

Minimum 5 years of direct experience in construction/renovations administration and estimation roles, preferably within a painting or renovations company.
Post-secondary education in Architecture, Construction Management, or a related technical discipline.
Proven expertise in PlanSwift, AutoCAD, QuickBooks, and 3D modelling software.
Advanced drafting skills with ability to prepare complex technical drawings compliant with BC permitting standards.
Demonstrated success managing multiple simultaneous projects with tight deadlines.
Superior bookkeeping skills with hands-on QuickBooks experience, especially focused on project profitability tracking.
Exceptional organizational skills and attention to detail.
Strong negotiation skills combined with professionalism and conflict resolution capabilities.
Excellent written and verbal communication skills, with fluency in English mandatory.
Familiarity with project management methodologies and software tools like Sling and Sortd.
